In-Person & Facilitated Online Training Events
Payments
All training and conference fees must be paid upon registration for the event unless a scholarship is requested. Government agencies, nonprofit organizations, local chapters of The Arc, and/or employees thereof, may render payment via a pre-approved purchase order or invoice request.
- Any registration that remains unpaid 7 calendar days prior to the scheduled event will be cancelled.
- Participants who show up to an event for which their registration was cancelled for nonpayment, may pay for the event and participate only if there is still room available.
- No discounts will apply to registrations made, but not paid, by the early registration discount deadline.
Options are listed below in the event you are unable to attend an event you have registered and paid for in advance.
Substitutions
- Registration may be transferred to another person within the same organization.
- Written request (via email to training@thearcoregon.org) for transfer of registration must be made at least 3 business days or more prior to the event.
Refunds
- All training registration cancellations and refund requests submitted in writing to accounting@thearcoregon.org by the participant more than 7 calendar days (1 week) prior to the scheduled event, will be awarded a full refund.
- All training registration cancellations and refund requests submitted in writing to accounting@thearcoregon.org by the participant 7 calendar days (1 week) or less prior to the scheduled event will be subject to a $50 or 50% cancellation fee, whichever is less.
- No refunds will be granted for paid registrants who do not attend the event with no prior notice of cancellation, or who cancel registration within 24 hours of the scheduled event start date/time.
Cancellation by The Arc Oregon
- If an event is canceled due to inclement weather or dangerous road conditions, the event will be rescheduled, and paid registrations will be transferred to the rescheduled event. If the event is not rescheduled by The Arc Oregon, a refund will be offered.
- If an event is canceled for any other reason, the attendee will receive an email offering to reschedule for a future event or to issue a refund.
Emergency Illness or Death of Registrant or Immediate Family Member
Refunds may be granted if an attendee is unable to attend the conference due to a family death, illness, or other extraordinary circumstance. In such a circumstance, The Arc Oregon must be contacted by phone, letter or e-mail. If initial notification is by phone, it must be followed up in writing. Refunds will still be subject to a $50 or 50% processing fee, whichever is less.
- Emergency refund requests must be submitted in writing to accounting@thearcoregon.org within 1 week (7 calendar days) of the end of the conference.
- Emergency refund requests received more than 1 week after the end of the conference will not be considered.
- Special requests for a refund must be approved by the Executive Director.
Webinars
- No refunds are offered on paid webinar events.
- We cannot guarantee every webinar will be recorded, but if a paid participant misses a scheduled live webinar they may contact our office to confirm a recording was made and to receive free access to the recorded webinar.
Conferences & Conventions
Policies in this section apply to large events such as the Youth IDD/Mental Health Summit and The Arc Oregon’s Self-Advocacy Convention.

Refunds
- Cancellations received on or before the date 30 calendar days prior to the first day of the conference, will be refunded in full minus a $50.00 cancellation fee.
- A cancellation fee of 50% of registration costs will be applied for cancellations received between 29 to 7 calendar days before the conference.
- No refund will be issued for cancellations received less than 7 calendar days before the first day of the conference unless in accordance with the Emergency Policy below.
All cancellation requests must be sent in writing via e-mail or regular mail to accounting@thearcoregon.org. Telephone requests will not be honored. Please email cancellations, if possible, and expect confirmation within two days. If necessary to cancel by USPS, please allow sufficient time for a response.
Cancellation by The Arc Oregon
The Arc Oregon is not responsible for problems beyond our control such as weather or road conditions. No refunds will be given in these situations.
